An uncomfortable question for any certification body: if your accreditation body asked for the competence matrix today, would the version you send reflect reality? In most operations the matrix lives in a spreadsheet that someone updates when they remember — and that stopped being true the day it was saved.
Why the spreadsheet is always stale
Competence isn’t static. Qualifications expire, witness audits come due, schemes change versions, and auditors gain experience with every audit they run. Every assignment depends on data that changes monthly — stored in a file that changes whenever someone has time.
The consequences are concrete: assigning an auditor to a code their qualification has expired for is a classic office assessment finding — and one of the hardest to defend, because it doesn’t question your judgment, it questions your control.
The living record
The alternative is a matrix fed by the operation’s real records: every audit performed updates the auditor’s experience; every training certificate is linked to their file; every expiry raises a flag months in advance; and witness audits are scheduled from the same calendar as everything else. Keeping that record alive from the real audit history, rather than rebuilding it before the visit, is the job of the Auditor Competence Agent.
With that in place, the accreditation body’s question stops being scary — because the matrix you show them is the same one you operate with every day.
